 +Because surveillance footage may contain confidential student and employee information, full access to the school's security camera system is limited to the following individuals:
 +  * Head of School (Administrator)
 +  * Business Director (Administrator)
 +  * Front Office Coordinator
 +  * Early Education/Lower School Principal (Administrator)
 +  * Middle School/Upper School Principal (Administrator)
 +  * Facilities Manager (door access and outdoor cameras only)
 +Additional access may be granted temporarily by the Head of School when necessary to fulfill a specific operational, legal, or safety responsibility.

 +**Requests for Incident Information**

 +Faculty and staff members who need information regarding a particular incident should submit their request to one of the authorized administrators (noted parenthetically) listed above. The authorized administrator will review the relevant footage and provide an appropriate summary or report of the incident. Whether surveillance footage itself is shown to the requesting employee is at the discretion of the reviewing administrator and will be determined based on the educational, operational, legal, and privacy considerations involved.

 +CHA will disclose the use of video surveillance through a statement regarding the school's use of security cameras for safety, security, and operational purposes, included in:
 +  * The Employee Handbook
 +  * The Parent-Student Handbook
 +Additionally, CHA will provide notice to visitors and members of the school community through signage indicating that video surveillance is in use, displayed at the school's primary entrances, including:
 +  * Front Office Entrance
 +  * S1 Entrance
 +  * N1 Entrance
 +  * S3 Entrance
 +  * S5 (South Gym) Entrance
 +Additional signage may be installed at other locations as deemed appropriate.

 +**Retention of Recordings**
 +
 +Security camera recordings are generally retained for up to 90 days, after which they may be automatically deleted or overwritten by the surveillance system. Footage relating to a known or reasonably anticipated investigation, disciplinary matter, legal claim, law enforcement request, insurance matter, or other significant incident may be preserved beyond the normal retention period when deemed appropriate by school administration or required by law.

 +**Sharing Surveillance Footage**

 +Surveillance footage is the property of Christian Heritage Academy and shall be treated as confidential. Whenever surveillance footage is shared, after administrative approval, with any individual or organization not employed by Christian Heritage Academy—including parents, law enforcement, legal counsel, insurance representatives, contractors, or other third parties—the employee authorizing or providing the footage shall notify and receive sharing approval from the entire Administrative Team as soon as reasonably practicable prior to sharing any footage. Whenever appropriate, the reason for the disclosure, the recipient, and the date of the disclosure should be documented.

 +**Law Enforcement Requests**

 +CHA may provide surveillance footage to law enforcement when the footage is relevant to a legitimate law enforcement investigation, an emergency or safety concern, suspected criminal activity, or another lawful request. When appropriate, CHA may require a subpoena, court order, warrant, or other legal process before releasing footage. The Head of School or designee should determine whether footage will be released, consulting legal counsel when appropriate.

 +Nothing in this procedure prevents CHA from voluntarily providing footage to law enforcement when school administration determines that doing so is lawful and appropriate to protect the safety of students, employees, visitors, or school property or to assist in the investigation of suspected criminal activity.

 +**Parent and Guardian Requests**

 +Parents and guardians do not have an automatic right to view or receive surveillance footage, particularly when the footage depicts students other than their own child. CHA will consider applicable student privacy laws, the privacy interests of other students and employees, and the circumstances of the incident when responding to a request.

 +When appropriate, an administrator may review the footage and provide the parent or guardian with a summary of what occurred rather than showing or providing the recording itself. Footage may be shown or released to a parent or guardian with administrative authorization when CHA determines that doing so is appropriate and legally permissible, or when disclosure is required by applicable law.

 +**Recording, Downloading, and Copying Footage**

 +Employees may not use personal devices to photograph, video-record, screen-record, or otherwise make personal copies of surveillance footage. Employees also may not download, export, transmit, or copy surveillance footage from the school's security camera system unless specifically authorized to do so for a legitimate school purpose by the Head of School, Business Director, or appropriate Principal.

 +Any authorized copy or download of surveillance footage shall be treated as confidential school information and stored, transmitted, retained, and deleted in accordance with school expectations and applicable law.

 +**Privacy and Appropriate Use**

 +Security cameras are intended to support campus safety, security, incident investigation, and operational needs. They are not intended for routine employee performance monitoring or general supervision except when footage is relevant to an investigation, safety concern, policy violation, or other legitimate administrative purpose. All authorized users are expected to access surveillance footage only for legitimate school business and to maintain the confidentiality of any information viewed through the surveillance system.
